Position Title: Administrative/Office Manager Position
Pay: $20.50
Job Type: Part Time up to 20hrs per week
Reports To: Executive Director
Work Location: In person, 8 Harrison Ave, Glens Falls, NY
Ministry Purpose: This position plays a significant role in achieving the center’s religious mission and thus has a ministry purpose. Every staff member and volunteer shall serve this purpose in his/her job and, in doing so, shall be in an active ministry position with the center.
Position Objective: Provide administrative and bookkeeping support through a variety of tasks to ensure efficient office operation.
Qualifications and skills:
- A committed Christian who demonstrates a personal relationship with Jesus as Lord and Savior (see Religious Qualifications below).
- A person who will adhere to the standards set forth by Next Steps For You, Inc., outlined in the Policies and Procedures Manual(s)
- Attention to detail, problem-solving skills, excellent time management skills, and ability to multitask and prioritize work.
- Excellent written and verbal communication skills.
- Ability to read, understand, and accurately interpret procedures for all job-related tasks.
- Computer literacy with the use of Microsoft Word and Excel and preferably experience with Quickbooks or other accounting software.
- Experience using calculator, copier, scanner, and fax machine.
- Experience in admin or assistant experience, bookkeeping, data entry, or customer service (preferred but not required).
- Ability to maintain a high level of confidentiality.
- Characteristics: dependable, emotionally mature, patient, willing to learn.
Office Manager Duties and Responsibilities:
- Providing a high level of customer service in all interactions with clients, donors, and other stakeholders.
- Overseeing office management, including duties related to administration, scheduling, event planning, report generation and filing, supply inventory, record keeping, and volunteer interactions.
- Attending volunteer staff meetings, other seminars, or educational events when requested.
- Assisting with volunteer relations, including sending correspondence and/or calling for follow-up.
- Maintaining a high degree of confidentiality at all times.
- Able to identify what is an emergent situation and take appropriate action.
- Performing other duties assigned as requested by leadership.
- Bookkeeping Duties and Responsibilities (approx. 10 hrs./month)
- Performing bookkeeping tasks for the organization via Quickbooks Online, including accounts payable, recording deposits, bank reconciliations, general ledger entries for accrual-based accounting, generating Monthly Financial reports for review by the Treasurer
- Running payroll using Pay Chex, annual payroll audit with Insurance Company, PayPal deposits and reconciliation, annual 990 filings, and CHAR500.
- Keeping the Executive Director's personnel file up to date, keeping her "timecard" to record paid time off, keep track of matching gifts, etc.

- Agrees with and abides by the Next Steps for You Statement of Faith and mission statement.
- Holds a sincere desire to reach and help at-risk women considering abortion.
- Believes in the sanctity of all human life from the moment of conception through natural death.
- Has a sincere, mature faith, lives in a manner reflective of Christ’s teaching and example, and has a willingness and ability to share the gospel.
- Regularly attends a Christian church.
- Exhibits strong interpersonal, spiritual, and administrative skills, takes initiative, and is flexible.
